How BarBrain handles your data

Plain answers about what we do, don't do, and why.

What we store

  • Your bar's name, menu, recipes, and team
  • Sales data you upload (Toast reports — item names, quantities, dates, dollar amounts)
  • Calculated theoretical usage (how many bottles your sales should have consumed)
  • Inventory counts (when Par Mode is available)

What we never do

  • We never sell your data to anyone.
  • We never share your bar's specific data with other bars.
  • We never use your data to train AI models.
  • We never give your data to advertisers.
  • We never make your sales numbers public.

Who can see your data

  • You and the teammates you invite (with their assigned roles).
  • The BarBrain team, for support and to keep the product working.
  • Stripe — only the billing information needed to process your subscription.
  • Supabase, our database provider — encrypted at rest, hosted in the US.

What happens if you cancel

  • Your data stays in your account until you delete it.
  • You can export your recipe data anytime.
  • If you delete your account, your data is removed within 30 days.
  • We never re-share canceled customer data.

Cross-venue isolation

  • Each venue's data is strictly separated.
  • Your menu, recipes, and sales data are never visible to other venues.
  • The only shared data is the global Classics library — standard cocktail recipes, public information, no venue-specific data.

Security basics

  • All data is encrypted in transit (HTTPS) and at rest.
  • Team access is role-based (owner, bev lead, bartender).
  • We require email-based authentication, with the option to sign in by magic link instead of a password.
  • If you do use a password, it's stored as a salted hash by our authentication provider — never as plain text, and never visible to us.
